Patient Registration
Before we can treat you, you must be registered with The Back & Body Clinic as a patient. You can register with us on arrival of your first appointment by completing and signing our new patient form which gives us consent to treat you.
Arriving at your First Appointment
We ask that you arrive at least 5 minutes before your first appointment to complete our new patient form. On arrival please book in at reception where your therapist will come and meet you at your appointment time.
Payment – Self Funding
All payments are made on the day after your appointment, we accept cash and all major debit and credit cards (excluding American Express). A full printed receipt is available on request.
Discounts
We offer discounts for selected corporates and sports clubs– please speak to our reception team for further details.
Payment – Private Health Insurance
We are registered with all major medical insurance companies and will submit invoices directly to them on completion of your treatment. If you would like us to liaise directly with your insurance provider please ensure you provide the following information at your appointment with us:
- Name of insurer
- Your Membership Number
- Your Policy Number
- AuthorisationCode
- Number of sessions authorised
If you do not have this information you will be required to self-fund until you have this information available.
Referral Scheme
Introduce your family and friends to The Back & Body Clinic and you (the referrer) will receive a £5 discount off your nextappointment. For every 5 referrals you make you will receive a luxury gift.
Cancellation Policy
Here at the clinic we operate a cancellation policy, all that we ask is that if you wish to cancel or amend your appointment, please give us at least 24 hours’ notice so that we are able to offer your appointment to other patients. Due to us running a very busy clinic, all missed appointments and
appointments cancelled without 24 hours’ notice will be chargeable.
We are pleased to offer a reduction of 50% to all cancellation fees if
you rebook your appointment immediately.
Chaperone Policy
If you would like a chaperone during your appointment please ask at reception or your therapist and we will be happy to help.
Disabled Access
All of our clinics have disabled access available, if you use a wheelchair or have any special requirements please contact our reception team prior to your appointment who will be happy to help.

We take any complaint very seriously and welcome any feedback to improve our service for all our patients
We are committed to providing a safe and respectful environment for everyone in our clinic. Please be advised that any form of harassment, including sexual harassment, will not be tolerated.
We encourage all patients to feel secure and comfortable during their visit. If you experience or witness any inappropriate behavior, please report it to our staff immediately.
